Privacy Policy

This policy explains what Arqivon collects when you use the web app, mobile app, Telegram, WhatsApp Cloud API, Slack, or Discord, and how you can delete it. It is written for people and for Meta App Review.

Who we are

Arqivon is a personal agent. You show it a job. It keeps working after you close the app, and it asks before it sends mail or writes a calendar event. We do not sell personal data. We do not run ads against your inbox or chats.

What we collect

• Account. Firebase Authentication stores your sign-in. If you use Google sign-in, we receive the email and profile Google shares for that login.
• Google connections you grant. If you connect Gmail or Calendar, we store OAuth tokens in a private vault. Tokens are not sent to the language model. We only use the scopes you actually granted (read/send mail, calendar events) to run jobs you asked for.
• WhatsApp Cloud API. If you pair WhatsApp, Meta delivers your WhatsApp phone number, message text, media you send, and delivery metadata to our official Cloud API webhook. We use that to pair your number to your Arqivon account, run the job, and reply on WhatsApp. We do not scrape WhatsApp Web. We do not use unofficial clients.
• Other official chats. Telegram, Slack, and Discord work the same way: a pairing code, then the messages you send to Arqivon on that official API.
• Jobs and approvals. The text of a job, its result, and whether you approved or denied a send or calendar hold. A crypto job stores the live quote and chart points we fetched for that ask.
• Waitlist. If you join with an email or E.164 phone, we store that contact to tell you when new surfaces land. It is not a login and it does not create an account.
• Profile. Language (BCP-47) and timezone (IANA) so a morning brief and dates match your clock.
• Arqivon Line, for businesses. If you run a business that sets up Line, we store your business profile and the call records described below.
• Live vision. Camera frames and voice are used during a Talk session to understand the job. They are not kept as a surveillance log.

We do not store payment cards. Arqivon does not charge your card, buy tickets, or take a restaurant reservation.

How we use WhatsApp and other Meta data

WhatsApp data is used only to operate the Arqivon agent you paired: identify your chat, read the message you sent, attach media you sent to that job, send Arqivon’s reply, and show Approve / Deny buttons. We do not use WhatsApp content for advertising, ranking other people, or training a public model. We do not share WhatsApp message content with other users.

Arqivon Line: calls to a business

Arqivon Line answers inbound calls for a business that set it up. For each call, Line stores for that business owner a text transcript of the conversation, a structured call note (summary, intent, outcome, follow-ups, sentiment), the caller's phone number, and any booking, ticket or message created during the call.

• Card-like numbers are redacted. Line never asks a caller for card numbers, passwords or government IDs. If a caller says a number that looks like a card (13 to 19 digits), it is replaced in the stored transcript.
• Phone numbers. The caller's number is used to find their records. Line reads back only the last four digits.
• Who can see it. The business owner who set up Line. Call data is not used for advertising and is not shared with other businesses.
• Recordings. Line keeps transcripts and notes. Arqivon does not currently offer audio call recording as a feature. If it ever does, it will be off by default and this policy will be updated first.
• How audio is handled. During a call, the caller's voice is streamed to Google Gemini so the receptionist can hold the conversation, and calls to a connected phone number travel through the telephony provider the business connects.
• Demo calls. The website's demo receptionist belongs to a made-up business. Do not share real personal details on it. Demo bookings and tickets are kept in memory only and expire.

If you called a business that uses Line and want your call record removed, ask that business, or write to the address below and we will pass the request on and delete what we hold.

Who else sees data

• Google. Sign-in and, if you connect them, Gmail and Calendar APIs.
• Meta. WhatsApp Cloud API delivery to and from your paired number.
• Telegram, Slack, Discord. Official APIs for those chats when you pair them.
• Google Gemini. Job text and Talk turns are sent to Gemini to route and draft. Vault tokens and card numbers are not.
• Twilio. If a business connects a phone number to Line, the telephony provider carries the call to us.
• Firebase / Google Cloud. Auth, Firestore, and Cloud Run host the service.
• CoinGecko. Coin lookups and charts send the coin id or search text to CoinGecko’s public API. We do not send your account or chat history there.

We do not sell personal information. We do not share it for cross-context advertising.

Data deletion

You can delete your Arqivon account from the in-app Settings screen. That removes the Firebase user we can reach, stored jobs we still hold for that user, pairing links, and Google tokens in the vault. To remove a waitlist email or number, write to the same address and say so.

You can also revoke Google access at Google Account permissions, and unlink WhatsApp by deleting the chat pairing or messaging us to disconnect the number.

To request deletion by email, write to emmanuel.veranyuy@gmail.com from the address on the account and ask us to delete the Arqivon account and WhatsApp pairing. We will delete the stored account data we control. Copies Meta or Google retain on their side follow their own policies.

Retention

Job rows and chat pairing stay until you delete the account or we remove a completed job in the ordinary course of operating the service. Live camera frames are not kept as a browseable history. Line transcripts and call notes stay until the business deletes them or closes its account. OAuth tokens stay until you reconnect, revoke, or delete the account.

Children

Arqivon is not directed at children under 13, and we do not knowingly collect their data.
